Method 1: Use ScanPST, Outlook's free repair tool

ScanPST.exe, also called the Inbox Repair Tool, comes free with Outlook. It checks your PST for errors and fixes what it can. For most small problems, this is all you'll need.

How to use it

  1. Close Outlook.
  2. Double-click SCANPST.EXE to open it.
  3. Click Browse and pick the copy of your PST file.
  4. Click Start. The scan can take a few minutes, or longer for big files.
  5. Click Repair and wait for it to finish.
  6. Run the scan again. Keep repeating until it says no errors were found.
  7. Open Outlook and check your emails.

If some emails seem to be missing, look for a folder called Recovered Personal Folders or Lost and Found in Outlook's folder list. ScanPST puts items there when it can't return them to their original folder.

Method 2: Move your mail into a new PST or a new profile

Even after a repair, an old PST can stay a bit fragile. Moving your mail into a fresh file gives Outlook a clean start. And if the problem is your Outlook profile (the settings that tie your accounts and files together), a new profile can fix it.

Create a new Outlook profile:

  1. Close Outlook.
  2. Open the Windows Control Panel and search for Mail. Open Mail (Microsoft Outlook).
  3. Click Show Profiles, then Add, and give the new profile a name.
  4. Follow the steps to set up your email account again.
  5. Back in the profiles window, choose Always use this profile and select the new one.
  6. Open Outlook and add your PST via File > Open & Export > Open Outlook Data File.

Keep the old file and profile for a few weeks before deleting them. You may notice a missing folder later on.

Method 3: Use professional PST repair tool

If ScanPST gives up, or your PST is large or badly damaged, a dedicated repair program is the next step. These tools dig deeper than ScanPST and usually let you see your recovered emails before you save anything.

Most offer a free demo version. It scans the file and shows what can be recovered, so you'll know whether it works before you spend anything. Saving the results normally needs a paid licence.

Stellar Repair for Outlook is one well-known option. It can Rebuild a damaged or encrypted PST files and save everything into a new, working PST file. Show a preview of your recovered emails, contacts and calendar before saving. You can also export to other formats, such as MSG, EML, PDF, HTML, RTF and MBOX

Method 4: Repair the PST online

Don't have Outlook on this computer? Or don't want to install anything? An online repair service fixes the file through your web browser. You upload the PST, the service repairs it on its own servers, and you download the fixed copy.

Stellar Online PST Repair is one example. Its free plan repairs one PST file, it works in Chrome, Firefox, Edge and Safari, and it doesn't need Outlook installed.

The steps are simple:

  1. Open the service and click Repair PST File.
  2. Sign in and upload the copy of your PST.
  3. Preview your recovered emails.
  4. Download the fixed PST and open it in Outlook.

Online repair is handy for a one-off fix. For very large files or a slow internet connection, a desktop tool is usually easier.

Wrapping up:

A damaged PST file is stressful, but it's rarely the end of your emails. Start small: back up the file, try the quick checks, then run ScanPST. recreate PST or a repaired Outlook install may solve it. And for files that are badly damaged, a professional repair tool or an online service can usually get your mail back.

Whatever you try, keep that backup copy safe until you're sure everything is where it should be.
