Step-by-Step Guide to Resolve QuickBooks Payroll Update Issues
Share article
QuickBooks Payroll updates keep tax tables, deductions, payroll forms, and employee paycheck calculations current. If an update fails, stalls, or shows an error, payroll processing can be delayed. The good news is that most QuickBooks Payroll update issues can be fixed with a few basic checks.
Check Your Payroll Subscription
Start by confirming that your payroll subscription is active. An expired subscription can prevent QuickBooks from downloading the latest payroll tax table.
Go to Employees > My Payroll Service > Account/Billing Information and sign in to verify the subscription status. You can also select Manage Service Key under My Payroll Service to ensure the payroll service key is valid and associated with the correct company file.
Update QuickBooks Desktop
Outdated software can cause a QuickBooks Payroll update error. Before downloading payroll updates, install the latest QuickBooks Desktop release.
-
Open QuickBooks Desktop.
-
Select Help > Update QuickBooks Desktop.
-
Open the Update Now tab.
-
Select Reset Update.
-
Click Get Updates.
-
Restart QuickBooks after the download finishes.
Updating the software can fix bugs, replace incomplete files, and improve compatibility with current payroll services.
Download the Full Payroll Update
After updating QuickBooks Desktop, download the payroll update manually.
-
Go to Employees > Get Payroll Updates.
-
Select Download Entire Update.
-
Click Download Latest Update.
-
Wait for the success confirmation.
The complete update option is helpful when a previous payroll download was interrupted or when multiple tax-table updates were missed.
Check Your Internet and Settings
A slow connection, incorrect system date and time, or restrictive security software may block QuickBooks from connecting to payroll update services.
Make sure your internet is stable and your computer’s date, time, and time zone are accurate. Restart your router if necessary. Also check that your firewall and antivirus software allow QuickBooks to access the internet. Avoid turning off security software permanently; add QuickBooks as an approved application instead.
Send Pending Payroll Data
Unsent payroll data can sometimes block future updates. Go to Employees > My Payroll Service > Send Usage Data. If that option does not appear, select Send Payroll Data.
Choose Send All, enter your payroll PIN if required, and wait for the confirmation message. Once the data has been sent, return to the payroll update window and try again.
Verify and Rebuild the Company File
Company-file damage can contribute to repeated payroll update failures. Back up your data first, then go to File > Utilities > Verify Data. QuickBooks will scan the company file for errors.
If it finds problems, select File > Utilities > Rebuild Data. Allow QuickBooks to create a backup and complete the repair. After the rebuild process, run Verify Data again to confirm that the file is working properly.
Final Thoughts
Most QuickBooks Payroll update issues can be resolved by checking the subscription, updating QuickBooks Desktop, downloading the complete payroll update, sending pending payroll data, and repairing the company file. Always create a backup before rebuilding company data, and do not interrupt the update while it is downloading.
